What Information We Collect

We collect the following personal information:

Through our waitlist form:

• First name

• Email address

• Information you voluntarily share about your health goals and conditions

Through our website:

• Basic analytics data such as pages visited and time spent on site (via Wix)

• Cookie data (see Cookies section below)

Through coaching services:​

• Health history and relevant medical information (this is special category data under UK GDPR and is given the highest level of protection)

• Dietary recalls, food intake records and nutritional assessments

• Dietary preferences, restrictions, allergies and intolerances

• Fitness and lifestyle information shared during consultations

• Weight, body composition and other health measurements where relevant

We use your information to:

• Contact you about coaching services and waitlist updates

• Provide personalised nutrition and fitness coaching

• Send relevant updates and information you have opted into

• Improve our website and services

We will never sell your data to third parties. We will never share your information with anyone outside of Nutricademy without your explicit consent, except where required by law.

Legal Basis for Processing (GDPR)

Under GDPR we process your data on the following grounds:

• Consent — you have actively opted in by completing our waitlist form or engaging our coaching services

• Contract — to deliver the coaching services you have signed up for

• Legitimate interests — to improve and develop our services

• ​Where we collect special category data (such as health, medical or dietary information), we rely on your explicit consent as our lawful basis under Article 9 of UK GDPR. You may withdraw this consent at any time by contacting info@nutricademy.com, though this may affect our ability to provide coaching services.

How Long We Keep Your Data

• Waitlist data — until you ask to be removed or 12 months after collection if no coaching relationship begins

• Client data — for the duration of your coaching and for 7 years after your last appointment, in line with professional guidance for health practitioners. If you were under 18 at the time of coaching, records are retained until your 25th birthday or 8 years after your last appointment, whichever is longer.

• You can request deletion of your data at any time by emailing info@nutricademy.com

You have the right to:

• Access the personal data we hold about you

• Correct any inaccurate information

• Request deletion of your data

• Withdraw consent at any time

• Object to how we use your data

• Complain to the ICO (Information Commissioner's Office) at ico.org.uk if you feel your data is being mishandled

• Cronometer — nutrition tracking software for coaching clients (cronometer.com/privacy)

• Zoom — video consultations (zoom.us/privacy)

• WhatsApp — general client communications. Please note WhatsApp is not a fully secure channel — we ask that you avoid sending sensitive health information via WhatsApp. Where possible, please send health-related information via email to info@nutricademy.com instead.
